What Salesforce Marketing Cloud actually includes.

Journey Builder

Journey Builder orchestrates multi-step, multi-channel programs that react to what each contact does: an email click, a purchase, a record change in Sales Cloud or an API event. Decision splits, wait steps and goals control each person’s path. It matters when timing and sequence drive results, such as onboarding, renewals or abandoned-cart follow-up.

Contact Builder Data Extensions

Data extensions are relational tables inside Marketing Cloud Engagement that hold subscribers, purchases, preferences and anything else a send needs. Contact Builder links them into a data model keyed on a contact identifier. This design determines how easily you can segment, personalize and report later, and it is difficult to change once journeys depend on it.

Automation Studio

Automation Studio schedules or triggers background work: importing files, running SQL queries that build segments, refreshing filtered audiences and exporting data to other systems. Most mature Marketing Cloud accounts run on a web of these automations. It matters because nightly segment and data-preparation jobs are where silent failures happen, so monitoring and naming conventions deserve real attention.

Marketing Cloud Next

Marketing Cloud Next is the newer product line built on the Salesforce platform and Data 360, sold as Growth and Advanced editions. Because it reads unified profiles and CRM records natively, it avoids the separate sync that Engagement relies on. Advanced adds two-way SMS and WhatsApp conversations and path experimentation, which makes it worth assessing before any new Engagement build.

Marketing Cloud Connect

Marketing Cloud Connect ties Engagement to your Salesforce org, synchronizing leads, contacts and campaign members as audiences and returning email tracking to CRM records. Activity in sales or service can trigger a journey too. It matters whenever Engagement messages depend on CRM data, or sellers need to see which emails a customer received.

Account Engagement Scoring and Grading

In Account Engagement, scoring measures a prospect’s engagement through activities like form fills and page visits, while grading measures fit against an ideal customer profile. Together they decide when a prospect is ready for sales. It matters for B2B teams whose sellers need a consistent, explainable reason a lead reached them, rather than a vague marketing hunch.

Good fit

When Salesforce Marketing Cloud is the right call.

  • You send high volumes of email, SMS or push messages to consumers and need journeys driven by individual behavior and events.
  • Personalization depends on purchase, product or account data from several systems, not just the fields stored in your CRM.
  • Your team includes, or will hire, people comfortable with SQL, scripting and data modeling who can run a technical platform.
  • Marketing messages must coordinate with sales and service activity already tracked in Salesforce, avoiding conflicting outreach to the same customer.
  • Multiple brands, regions or business units need separate sending identities and permissions while sharing a common governance model.
Think twice

When something else fits better.

  • B2B companies whose main goal is qualifying leads for a sales team are usually better matched with Account Engagement or a Marketing Cloud Next edition.
  • Small teams sending a regular newsletter with light automation may find the email marketing in Salesforce Starter entirely sufficient.
  • If customer data is still scattered and inconsistent, unifying it in Data 360 may need to come before advanced personalization work.
  • Nobody is available to own deliverability, nightly data jobs and journey maintenance; settle staffing before committing to an enterprise marketing platform like Engagement.

How a Salesforce Marketing Cloud rollout comes together.

  1. 01

    Plan business unit structure

    Decide early whether each brand, region or division gets its own business unit, sender profiles and subscriber lists, because that structure governs permissions, unsubscribes and reporting. Consolidating or splitting business units later is disruptive. Document which teams share content and audiences, and which must stay isolated for legal or brand reasons, before the account is provisioned.

    Set up sending domains

    Configure the sender authentication package, dedicated sending domains and reply handling before the first live send. Then ramp volume on new IP addresses gradually, starting with your most engaged contacts. Coordinate DNS changes with IT well ahead of launch. A rushed domain setup is one of the most common reasons early campaigns land in junk folders.

    Model the contact data

    Choose the subscriber key that will identify every person across channels, usually the Salesforce contact or lead ID, never an email address that can change. Then design data extensions and relationships in Contact Builder for what your first journeys segment and personalize on, rather than importing every available table on day one.

    Rebuild consent and preferences

    Import existing opt-in, unsubscribe and channel consent history with its source and date. Build a preference center whose choices are saved back to the matching Salesforce contact or lead. SMS consent in particular needs its own documented trail. Test that an unsubscribe in any channel is honored everywhere it should be before any journey is switched on.

    Launch a few journeys

    Start with a small number of high-value journeys, such as welcome series and transactional messages, and run them long enough to validate data, timing and reporting. Establish naming conventions, test sends and approval steps at this stage. Additional journeys go faster once the team trusts the data foundation and has a repeatable build checklist.

Before you buy licenses

Marketing Cloud is packaged very differently from Sales and Service Cloud. Apart from Salesforce Starter, its products are priced per org rather than per user, with contractual limits on contacts, messages or channels. Marketing Cloud Next comes in Growth and Advanced editions, while Engagement+ and Account Engagement+ pair existing products with Next capabilities. Personalization and Marketing Intelligence are sold separately. Ask your account executive how contacts are counted, what happens when you exceed limits and whether SMS, WhatsApp and extra business units are included. Confirm whether your current contract can move to a plus edition in place, and how Data 360 and Agentforce consumption is metered.

Common Salesforce Marketing Cloud mistakes.

Using email as the subscriber key

Accounts set up with email addresses as the subscriber key struggle when customers change addresses, share inboxes or appear in several systems. Duplicate contacts inflate contact counts and fracture engagement history. Choosing a stable CRM identifier from the start avoids a painful key migration later, which typically requires Salesforce support involvement and careful data remapping.

Syncing the entire CRM

Pulling every lead, contact and field from Salesforce into Marketing Cloud feels thorough, but it adds contacts you will never message, slows synchronization and complicates governance. Limit the sync to what segmentation, personalization or suppression genuinely uses, and apply filtered synchronized data sources to exclude records that should never receive marketing.

Leaving automations unmonitored

Automations that import files or rebuild segments can fail quietly, leaving journeys running on stale audiences for weeks before anyone notices a campaign reaching the wrong people. Set up failure notifications, keep a register of every automation with an owner and purpose, and review activity history regularly, especially after any upstream system changes.

Launching journeys without exit criteria

Journeys that only define an entry event keep messaging people after they have bought, cancelled or opened a support complaint. Customers notice when a promotion arrives the day after a purchase. Define goals and exit criteria for every journey, and connect suppression lists to open service cases and recent orders so messages stay appropriate.

What is the difference between Marketing Cloud Engagement and Account Engagement (Pardot)?

Account Engagement, formerly Pardot, is built for B2B lead nurturing, scoring and handoff to sales inside Salesforce. Marketing Cloud Engagement is built for high-volume, multi-channel consumer messaging and journeys. Most of our B2B clients use Account Engagement.

Many teams pair a campaign manager with a technical marketing operations specialist. We help define those roles, document the build, and train your people so ongoing work does not depend on us.

Should one company ever run both Engagement and Account Engagement?

Yes, and some companies need both: Account Engagement for nurturing business buyers alongside sales, and Engagement for high-volume customer or product messaging. Running both requires clear rules on which platform owns each audience, how unsubscribes are shared, and where engagement history is reported. Without those rules one person can receive conflicting emails from two systems that each believe they own the relationship.

Should we build on Marketing Cloud Next or Engagement?

It depends on volume, channels and existing investment. Marketing Cloud Next runs on the Salesforce platform and Data 360, so segments and journeys use unified profiles without a separate sync. Engagement remains the mature choice for very high-volume sending, deep SQL segmentation and established MobilePush or transactional programs. Many organizations will run both for a period. We compare your first journeys against each product’s current features before recommending either.

Do you set up transactional messages like receipts and password resets?

Yes. Transactional messaging in Marketing Cloud Engagement sends event-triggered emails and texts through an API, separate from promotional journeys. They arrive quickly and are not blocked by marketing unsubscribes where regulations allow. We design the API integration with your application team, set up sender profiles and templates, and add monitoring so a failed send is noticed before a customer complains.

How do we prove marketing’s impact on revenue?

Opens and clicks are only the start; stronger reporting links each message to an outcome such as opportunities created, purchases, renewals or service contacts avoided. That usually means sending engagement data back to Salesforce, using campaign influence for B2B programs, or building a reporting data set in CRM Analytics or Tableau. Agree the metrics with leadership before launch, so tracking is built in rather than retrofitted.
