Umbrella sheltering a question mark, representing insurance coverage
Salesforce, AI & Revenue Operations

Salesforce consulting for Insurance

Insurance technology has two distinct sides, distribution (agents, brokers, MGAs, carriers) and operations (underwriting, claims, policy administration). Both require deep configuration to do well, and most CRM implementations fail because they treat insurance like any other B2B business. It is not.

Common Challenges

What we see in insurance.

The technology and process challenges that come up in nearly every engagement we run in this industry.

Producer hierarchy and commission complexity

Agencies, sub-agencies, producer types, split commissions, override commissions, carrier-specific calculations. The hierarchy needs to be in the platform, not in a spreadsheet.

Submission and quote-to-bind friction

When brokers and agents need to submit, quote, bind, and issue policies across multiple carriers and rating engines, the integration work is significant, and often poorly done.

Compliance and licensing tracking

Producer licensing by state, by line of business, with expiry tracking and renewal workflows is the kind of operational work that breaks every five years if not built properly.

Carrier and rating engine integration

Every carrier API is different. Maintaining stable integration across 5+ carriers takes intentional architecture, not glue code.

Claims handling complexity

Claims involve multi-party workflows, FNOL intake, adjuster assignment, payment processing, and litigation tracking, most CRM implementations leave claims as an afterthought.

Loss runs and underwriting data quality

Underwriting decisions depend on clean loss-run data that arrives in dozens of formats. Cleaning and structuring it is unglamorous, critical work.

Regulatory & Compliance Matters

What we navigate in insurance.

Compliance is not a separate workstream, it is embedded in every workflow we deliver. The major frameworks we work within:

State Producer Licensing

Tracking producer licenses by state, line of business, and renewal cycle, with active enforcement built into workflow.

NAIC Market Conduct Standards

Documentation of sales practices, complaint handling, and replacement transactions that holds up to market conduct exam.

Surplus Lines Tax & Filings

State-specific surplus lines tax calculations and stamping office filings automated within the policy lifecycle.

HIPAA (Health Insurance Lines)

PHI handling, audit logging, and minimum necessary access controls for any health insurance workflows.

GLBA Safeguards Rule

Information security program evidence, vendor diligence, and customer information protection workflows.

IRS 1099 / Tax Reporting

Producer compensation tax reporting and broker 1099 generation tied directly to commission systems.

Signature Service Categories

The major insurance practices our team runs.

Each category represents a deep specialization with dedicated playbooks, accelerators, and experienced consultants.

Producer & Distribution Platforms

Agency hierarchy modeling, commission systems, producer portals, and licensing infrastructure.

Underwriting & Submission Workflows

Submission intake, triage, underwriter productivity tools, and rating engine integrations.

Claims Management

End-to-end claims platforms covering FNOL, adjustment, payment, and litigation tracking.

Policy Administration Integration

Salesforce-to-PAS integration patterns for unified customer 360 across the policy lifecycle.

AI for Insurance Operations

FAQ

Salesforce for insurance: common questions.

Which Salesforce products fit an insurance agency, MGA or carrier?

Financial Services Cloud is the usual foundation, since it includes insurance-oriented objects for policies, claims and producers. Service Cloud handles policyholder inquiries and claims intake, and Experience Cloud supports producer or policyholder portals. Smaller agencies sometimes do well on Sales Cloud alone. An insurance agency we worked with replaced spreadsheets with Sales Cloud and a private sharing model so agents could not see one another's clients, which mattered more to them than any specialized feature.

What systems does Salesforce typically integrate with in insurance?

The policy administration system is almost always the anchor integration, followed by rating engines, carrier portals or APIs, agency management systems and claims platforms. The design choice that matters most is deciding which system owns policy status, premium and renewal dates, because split ownership gives service reps conflicting answers. We favor a clear system of record for each data element and a middleware layer that can absorb a carrier changing its interface.

How should insurers handle policyholder data and producer licensing in the CRM?

Treat policyholder information as regulated financial data, since GLBA privacy and safeguarding expectations generally apply to insurers, and health lines may bring HIPAA into scope. In practice that means role-based access, field-level restrictions and audit history. Producer licensing is a separate concern: tracking appointments and license status by state inside the CRM helps stop business from being written by someone not authorized for that line. Your compliance team should validate the specific requirements.

Can Agentforce or Claude help with underwriting and claims work?

Yes, particularly for reading and routing the documents that slow both functions down. AI can pull key details from submissions, applications and first notice of loss reports, flag what is missing, and route the file to the right underwriter or adjuster. We keep coverage and claim decisions with licensed people and log what the AI extracted, so an examiner or auditor can see how each file moved and who made the call.
