What altaFlow actually includes.
Record-driven document generation
altaFlow merges Salesforce fields into DOCX or PDF templates that carry conditional logic and dynamic tables. Teams upload the contracts and forms they already use, then add data tags instead of rebuilding layouts in a proprietary editor. It matters when quotes, statements of work or onboarding packets are still assembled by copying record values into Word by hand.
Launch points across objects
Workflows can start from a button on an Opportunity, Quote, Account, Contract, Order, Case or custom object, from a record update, or on a schedule for batch runs. That flexibility lets admins place document steps exactly where users already work. Decide early which launches stay manual and which fire automatically, or duplicate documents appear quickly.
No-code approval routing
Approval chains are designed visually and can branch on amount, stage, product or custom fields pulled from the Salesforce record. Legal, finance and sales leaders review inside the same workflow that produced the document. This matters when discount or clause exceptions currently move by email, leaving no reliable trail of who approved what and when.
Built-in eSignature
altaFlow includes its own electronic signing with reminders, expirations, a certificate of completion and an audit trail. The vendor says it is designed around the ESIGN Act and UETA. Some teams can retire a separate signing tool as a result. The AppExchange listing also mentions working with existing signature tools, so confirm which combination suits your contracts.
Write-back to Salesforce records
When a document is completed or signed, the final PDF attaches to Salesforce Files using configurable naming rules. Status, dates and captured values then update fields on the originating record. Salesforce stays the system of record for deal and case history. Plan which fields receive write-back so reports and automation can depend on them.
Web forms and bots
Web forms collect information from customers, applicants or employees and can feed Salesforce. More than one hundred no-code bots handle prefill, notifications, file import and export, and connections to other systems. Some bots consume usage credits and others do not. Map each bot against the credit model before a busy workflow goes live.
When altaFlow is the right call.
- Sales, HR, legal or finance teams produce many documents from Salesforce data and still copy record values into templates by hand.
- A single process must combine a web form, generated document, approval chain and signature, then write results back to the same record.
- Document processes span Salesforce and other systems such as NetSuite, Microsoft Dynamics 365 or SharePoint, and one automation layer should cover them all.
- Many occasional approvers and signers take part, so usage-based pricing suits you better than buying a named seat for every participant.
- Admins, not developers, are expected to build and maintain document workflows, and sandbox testing is already part of your release process.
When something else fits better.
- Quotes come only from a CPQ or Revenue Cloud setup whose built-in quote templates already produce acceptable output, so another layer may duplicate effort.
- Your org already licenses OmniStudio, where Document Generation may cover record-based documents natively; compare both carefully before adding a separate platform.
- Only a handful of simple letters go out each month, and a standard Salesforce email template or quote PDF would serve well enough.
- Contracts need full lifecycle management with clause libraries, obligation tracking and renewals; check how far altaFlow’s redlining goes and compare dedicated CLM tools.
How a altaFlow rollout comes together.

Inventory documents and owners
List every document the business produces from Salesforce, who requests it, which record it starts from and who approves or signs it. Note monthly volumes, because usage credits track documents sent and paid bot runs. Pick two or three high-volume, well-understood documents for the first release rather than chasing every edge case at once.

Install and connect in a sandbox
Working in a sandbox first, install the package and connect it with an integration user whose access reflects what workflows must read and write. Assign permissions to the admins who will build. Confirm field-level security on every merged and written field. Surprises about hidden fields are far cheaper to find here than in production.

Convert templates carefully
Upload existing DOCX or PDF templates and tag them with Salesforce fields, including related lists for line items. Test conditional sections against real records with missing values, multiple currencies or long product tables. Have legal review generated output, not just the template, since formatting problems often surface only with live data.

Design approvals and write-back
Define routing rules with the approvers themselves, then decide which status, date and file-link fields altaFlow writes back to the record. Keep those fields read-only for users where possible. Build Salesforce reports on them before launch so managers can spot stuck documents without chasing anyone for an update. Review routing again after the first month of real use.

Launch and measure
Place launch buttons on the page layouts where users already work, train each team on its own workflow and retire old templates so nobody reverts. Watch credit consumption, approval turnaround and failed runs during the first weeks. Then add the next group of documents using the same patterns and naming conventions.
Before you buy licenses
altaFlow’s website describes plans with unlimited users, with cost driven by automation usage measured in credits. Each document sent consumes a credit. Paid bots that connect to external systems consume credits per successful run, while basic bots such as prefill and notifications do not. The AppExchange listing frames pricing per document and mentions nonprofit discounts. Because these descriptions are framed differently, confirm with the vendor how your expected document volumes, bots and connected systems translate into a plan. Ask whether HIPAA coverage through a Business Associate Agreement, sandbox use and Salesforce-specific components carry separate terms. Your Salesforce edition must also support installed packages and the API access the integration relies on.
Common altaFlow mistakes.
Tagging templates against the wrong object
Building a template from the Opportunity when line items, contacts or billing details actually live on Quote, Order or custom objects leads to missing or wrong values. Trace every merged field to its source object first. Choose the launch object that reaches all of them through relationships, rather than copying data onto one record.
Ignoring field-level security for the integration
Documents quietly render blank values when the connecting user cannot see a field, and write-back fails when it cannot edit one. These errors often appear only in production, where profiles differ from sandbox. Grant access deliberately through a permission set, document it and test with a record owned by a restricted user.
Automating launches without guardrails
Triggering generation on every record update can send duplicate documents to customers whenever someone edits a stage or amount. Tie automatic launches to a specific status change, check whether a document already exists and log each run. Manual buttons are safer while teams are still learning how the workflow behaves.
Leaving old document paths open
If users can still download a Word template from a shared drive or send a PDF from their inbox, the new workflow becomes optional. Approvals get skipped and Salesforce loses the signed copy. Retire legacy templates on launch day and make altaFlow the only route for customer-facing documents in that process.
altaFlow questions.
Is altaFlow the same product as airSlate?
altaFlow is the new name for airSlate’s workflow platform, announced in early 2026. The vendor states that existing logins, workspaces, documents and workflows carry over unchanged. You may still see the airSlate name in older documentation, developer resources, the publisher name on the AppExchange listing and some settings. Treat the two names as one product family, and check article dates to confirm guidance is current.
Does altaFlow replace Salesforce’s own document generation?
It can, but compare first. Orgs using OmniStudio may already have Document Generation available, and CPQ or Revenue Cloud include quote templates. Those options keep everything inside your Salesforce contract. altaFlow adds forms, approvals, signing and connections to non-Salesforce systems in one no-code builder. Check edition entitlements with Salesforce, then run the same two documents through each option before deciding.
Where do completed documents live?
Final PDFs attach to Salesforce Files on the originating record using naming rules you configure, and status, dates and captured values write back to fields. The audit trail and certificate of completion are held in altaFlow. Decide whether your retention policy needs those artifacts stored in Salesforce too, and confirm export options with the vendor. Large volumes of PDFs also consume Salesforce file storage over time.
Can people outside Salesforce take part in a workflow?
Yes. Customers, candidates and other external signers can complete web forms or sign documents without Salesforce access, which suits onboarding, applications and contract signature. Their responses can write back to the related record once the step finishes. Map carefully which record each external submission should update, and validate inputs, because form data landing in Salesforce feeds reports and automation downstream.
What security reviews should we expect?
The vendor states altaFlow holds SOC 2 Type 2 and ISO 27001 certifications, describes GDPR and CCPA compliance and offers a Business Associate Agreement for HIPAA use. Your security team will still want to review data flows, because record data leaves Salesforce to generate documents. Request current reports directly from the vendor, and confirm where data is hosted and how long it is retained.
