Why would an operations group run cross-team work in Salesforce?

Salesforce gives operations teams a shared record of every order, case, asset and handoff, so the work between departments stops living in inboxes. Flow automates the routine steps, Order Management and Field Service carry commitments from sale to delivery, and MuleSoft keeps ERP and warehouse data in sync with what customers were promised. Agentforce can take on intake and triage work that used to need a person. Salesforce rarely replaces the ERP; it becomes the coordination layer that tells operations what is due, what is stuck and who owns it next.

Order exception triage

When an order fails a credit check, hits a stock shortage or carries a bad ship-to address, Salesforce Order Management raises an exception and a Flow opens a queue item for the right coordinator. The coordinator sees the account, the original quote and prior exceptions on one screen, fixes the issue and releases the order without chasing sales for context.

Sales-to-delivery handoff

Closing an opportunity in Sales Cloud triggers a Flow that creates the onboarding or fulfillment record, copies scope and special terms, assigns an operations owner and schedules a kickoff task. Nobody retypes the deal, and the delivery lead can open the original opportunity to read exactly what the customer was promised before the first call.

Dispatching field work

Dispatchers use the Field Service console to match work orders with technicians by skill, territory and availability. The mobile app gives crews job details, parts lists and checklists offline, and completed work updates the case, the asset history and the service appointment, so billing and customer updates happen without a separate status call.

Intake with an AI agent

Internal requests for rush shipments, return authorizations or schedule changes arrive by email, web form or chat. An Agentforce agent reads each one, pulls the related order and account, fills the required fields and routes it through Omni-Channel. Coordinators review the prepared request instead of assembling it, and anything ambiguous goes straight to a person.

Weekly capacity review

Before the weekly operations meeting, a Tableau dashboard fed by Salesforce and ERP data shows backlog by stage, work orders by region and cases aging past target. Leads annotate the problem areas, assign follow-up tasks directly on the records, and the next week's view shows whether those actions actually moved anything.

Your first four steps.

  1. Pick one broken handoffChoose the cross-team handoff that generates the most follow-up emails, often sale-to-fulfillment or case-to-dispatch. Walk it with the people who do the work, list every place information is retyped or lost, and agree on the single record in Salesforce that should own that moment.
  2. Define statuses before automatingWrite down the stages an order or work order actually moves through and what must be true to leave each one. Automation built on vague statuses just moves confusion faster, while clear exit criteria give Flow and reporting something reliable to act on.
  3. Connect the system of recordDecide which facts belong to the ERP, such as inventory and invoices, and which belong to Salesforce, such as commitments and customer context. Then integrate only the fields each side needs, so coordinators never have to wonder which screen holds the true answer.
  4. Add an agent to intakeOnce the process is stable, point an Agentforce agent at the highest-volume request type. Give it narrow actions, clear escalation rules and a human review step at first, then widen its scope as the team gains confidence in how it prepares and routes requests.

Salesforce for operations: questions.

Is Salesforce a replacement for our ERP?

Usually not. Most operations teams keep inventory, purchasing, costing and the general ledger in their ERP, which is built for those jobs. Salesforce works best as the customer-facing coordination layer: the place where orders, service commitments, exceptions and handoffs are visible to every team. We integrate the two so each system owns the data it is best at, and nobody has to maintain the same record twice or reconcile two versions at month end.

What operations work suits Salesforce best?

Work that involves a customer commitment and several teams tends to fit well: order exceptions, onboarding, returns, field service, installation scheduling and escalations. Salesforce is strong at routing, tracking ownership and showing status to people outside operations. Highly specialized production planning or warehouse execution usually belongs in purpose-built systems, with Salesforce receiving the milestones that sales, service and customers care about.

Where do AI agents help operations staff?

Agentforce is most useful on repetitive intake and lookup work: reading a request, finding the related order or asset, filling in fields, checking a policy and routing the item. It works inside the same permissions and data as your team, so its actions are visible on the record. We start with narrow tasks and a person approving outputs, then extend the agent only where it has proven reliable.

Can field crews use it without good connectivity?

Yes. The Field Service mobile app is designed to work offline, so technicians can view work orders, complete checklists, capture photos and record parts used in basements, rural sites or plants with poor signal. Updates sync when the device reconnects. We help configure which data is cached on the device so crews have what they need without overloading phones or exposing more customer data than the job requires.
