Salesforce consulting for Education

Education institutions usually hold more data about a student than any commercial business holds about a customer, and can usually do less with it. Admissions, financial aid, advising, student life and advancement each run their own system, so nobody sees the whole student. The institutions pulling ahead have made the student record singular, and made it available to everyone who touches that student.

How We Help

What we deliver for education firms.

Unified student record

Integration between SIS, LMS and CRM so admissions, advising, financial aid and student life work from the same record rather than their own copy.

Recruitment and admissions platform

Inquiry capture, automated nurture, application tracking and yield management, with response time treated as the metric it actually is.

Melt and retention signals

Behavioural and engagement signals surfaced between deposit and census, and again each term, so intervention happens while it can still matter.

Proactive advising workflows

Advisor caseloads, alert routing and intervention tracking built around early signals rather than posted grades.

Advancement and alumni engagement

Constituent records connecting engagement, event attendance, volunteering and giving, so cultivation is informed by more than the last gift.

Accessible-by-default digital experience

Portals and communications built to WCAG from the start, with accessibility checked as part of the release rather than audited afterwards.

Common Challenges

What we see in education.

The technology and process challenges that come up in nearly every engagement we run in this industry.

The student exists in six systems

The SIS, the CRM, the LMS, financial aid, housing and advancement each hold part of the record. Nobody sees the whole person, which is exactly what advising requires.

Recruitment competes on response time and loses

Inquiries arrive around the clock and get answered in business hours, days later. The institution that replies first is often the one that enrolls.

Melt is discovered too late

Between deposit and first day, students quietly disappear. Without behavioural signals, nobody knows until the census.

Advising is reactive

Advisors find out a student is struggling when the grade posts, which is one term too late to change the outcome.

Advancement works from stale data

Alumni records decay quickly, and giving history rarely connects to the engagement history that would explain it.

Accessibility is treated as a project, not a property

Digital accessibility gets audited once, remediated, and then drifts as new content is added.

Regulatory & Compliance Matters

What we navigate in education.

Compliance is not a separate workstream, it is embedded in every workflow we deliver. The major frameworks we work within:

FERPA

Education record privacy, disclosure logging, directory-information handling and role-based access to student data.

Title IV / Higher Education Act

Financial aid eligibility evidence, satisfactory academic progress records and program participation documentation.

Title IX

Case intake, confidentiality controls and the recordkeeping those investigations require.

ADA & Section 508

Digital accessibility for portals, forms and communications, tested as part of release rather than audited afterwards.

Clery Act

Campus incident recording, timely warning workflow and annual security report evidence.

GDPR (International Students)

Lawful basis, consent capture and data subject rights for students recruited from the EU and UK.

Signature Service Categories

The major education practices our team runs.

Each category represents a deep specialization with dedicated playbooks, accelerators, and experienced consultants.

FAQ

Salesforce for education: common questions.

Is Education Cloud the right Salesforce product for a college or university?

For most institutions, yes, because Education Cloud provides a data model for students, programs, applications and advising that general-purpose clouds lack. Marketing Cloud handles recruitment and alumni communication, Service Cloud supports student service centers, and Experience Cloud powers applicant and student portals. Schools and continuing education providers may need a lighter footprint. We start from the lifecycle stages you most want to manage, whether recruitment, retention or advancement, and phase licensing around them.

How does Salesforce connect to our student information system and LMS?

The student information system stays authoritative for enrollment, grades and academic records, and Salesforce receives the subset advisors, recruiters and staff need. Learning management system activity can feed engagement signals, while financial aid and housing systems contribute status updates. We agree on a single student identifier across systems before integration begins, since mismatched identifiers are what fragment the student record. Cutover timing should respect the academic calendar, avoiding registration and census periods.

What does FERPA mean for how we configure Salesforce?

FERPA governs access to and disclosure of education records, so your Salesforce design should give each role only the student information it has a legitimate educational interest in. That usually means restricting academic and disability-related data, respecting directory information opt-outs in communications, and logging access. AI features need the same boundaries. Your registrar and general counsel should confirm how FERPA and any state student privacy laws apply to each workflow.

How can Agentforce help admissions and student services?

Agentforce can answer common applicant and student questions outside office hours, covering deadlines, application status, required documents and financial aid next steps, and hand off to staff when a question is personal or complex. For advisors, an agent can summarize a student's engagement and flag early signs of risk. Answers must come from approved, current content, so we build knowledge upkeep into the operating process rather than treating it as a launch task.
